Privacy Notice

This Privacy Notice explains how CareScope (“CareScope,” “we,” “us”) collects, uses, discloses, and retains personal information in connection with carescope.com, our email newsletter, and messages sent to the newsroom.

Effective date: January 1, 2026

01Scope and controller identity

This Notice applies to personal information processed by CareScope acting as a controller (or “business” under U.S. state privacy laws) through carescope.com, our email newsletter, and correspondence with our newsroom.

02Categories of personal information we collect

  • Subscription data: the email address you provide to receive our newsletter, and the page or source you subscribed from.
  • Correspondence data: name, work email address, organization name, professional role, and the content of messages, story tips, or corrections you send us.
  • Internet and device activity: IP address, browser and device type, referring URL, pages viewed, and interaction events collected via cookies and similar technologies.
  • Assistant queries: the questions you type into our on-site reader assistant, which we screen to block sensitive information.
  • Account data: the email address you use to create a reader account, and your membership or toolkit purchase records (plan, status, renewal date, purchase date). We never receive or store your card details.

03Information we do not want and do not request

Our web forms and reader assistant are not intended to receive protected health information (PHI), patient identifiers, credentials, secrets, or other sensitive personal information. Do not submit PHI, Social Security numbers, payment card data, biometric data, or account passwords through this website.

If we become aware that such information has been submitted through a public form, we will delete it from our systems without further processing, except where retention is required by law.

04Purposes of processing

  • To publish and distribute our editorial work, including the email newsletter you request.
  • To respond to reader inquiries, story tips, and correction requests.
  • To operate, secure, maintain, and improve carescope.com.
  • To send newsletter and service communications you may unsubscribe from at any time.
  • To create and administer reader accounts, memberships, and toolkit purchases, including access to files you have bought.
  • To comply with legal obligations and to establish, exercise, or defend legal claims.

05Legal bases (where GDPR or UK GDPR applies)

We rely on performance of a contract (sending the newsletter you request), legitimate interests (operating and securing our website, and responding to reader correspondence), consent (newsletter subscriptions and non-essential cookies where required), and compliance with legal obligations. You may withdraw consent at any time without affecting prior processing.

06Disclosures to third parties

We do not sell personal information and do not share it for cross-context behavioral advertising. We disclose personal information to service providers and subprocessors that support hosting, email delivery, analytics, and business operations, in each case under written contracts limiting their use to our instructions; to professional advisors; to acquirers in a corporate transaction; and to authorities where required by law or valid legal process. Purchases are processed by Paddle.com, our reseller and Merchant of Record, which acts as its own controller for payment, tax, invoicing, and billing support and receives the information needed to complete your order.

07Retention

We retain personal information only as long as necessary for the purposes described above, then delete or de-identify it. Newsletter records are retained until you unsubscribe plus a limited suppression period so we do not email you again. Newsroom correspondence is typically retained for 24 months from last contact, longer where an editorial or legal record requires it.

08International transfers

CareScope is based in the United States. Where personal information is transferred from the EEA, UK, or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses together with supplementary technical and organizational measures.

09Your rights and how to exercise them

Submit requests to support@carescope.com. We verify requests using information already in our records and respond within the period required by applicable law. Authorized agents must provide written proof of authority.

  • Access, correction, deletion, and portability of your personal information.
  • Opt out of marketing communications, and of any sale or sharing (we do neither).
  • Limit use of sensitive personal information, where applicable.
  • Non-discrimination for exercising any privacy right.
  • Appeal a denied request, and lodge a complaint with your supervisory authority or state attorney general.

10Security

We maintain administrative, technical, and physical safeguards appropriate to the limited nature of the data we hold, including encryption in transit, least-privilege access, multi-factor authentication for internal systems, logging, and vendor due diligence. No method of transmission or storage is completely secure.

11Children's privacy

carescope.com is intended for business use by adults. We do not knowingly collect personal information from children under 16.

12Changes to this Notice

We may update this Notice to reflect changes in our practices or legal requirements. We will revise the effective date above and, for material changes, provide additional notice on carescope.com.
